How Does Payroll Work?

Payroll is the process a business uses to calculate and pay employees and record the associated employment costs. A typical payroll process involves calculating gross wages, applying relevant tax withholding, accounting for leave and other entitlements, calculating superannuation and producing the required employee payment and reporting information. 


The exact process depends on the business, employees, payroll software and applicable employment requirements. For a small business, payroll should also connect with the accounting system so the payroll transactions are accurately reflected in the financial accounts. 


Using payroll software can reduce manual calculations, but the business still needs to make sure employee information and payroll settings are correct. Payroll bookkeeping then involves ensuring the resulting transactions are correctly recorded and reconciled in the accounting system. 


Superannuation is particularly important. From 1 July 2026, Payday Super requires employers to pay superannuation contributions on payday. If you are unsure about your payroll obligations, it is sensible to obtain advice appropriate to your business.
